Generate a return A/P transaction, post and generate Vendor Voucher/ Debit Memo Report

Part 1: Perform a return transaction
1. Click the Open icon.
2. Type purchase order receiving in the Filter field.

3. Click the Purchase Order Receiving list item.
4. Click the OK button. The Purchase Order Receiving form opens.
5. Type dp329 in the PO Number field.
6. Press Tab. A dialog box opens with the message, “Not one PO Line exists.” This is because the 
purchase order lines have been received.
Note: If other learners have performed this exercise, the dialog box will not display and there will 
be a line or lines with a Qty of 1 to be received.
7. Click the OK button.
8. Click the PO Line/Release Status drop-down arrow.
9. Click the Filled list item. The grid updates to display the fully received line(s).
10. Click to select the Select check box for the first line.
11. Click to select the DR Return check box for the line item. Note: you are able to select the check 
box. This means that the PO line has been vouchered and you must do a positive return.
12. Type 1.00 in the Receive Qty field.
13. Press Tab.
14. Click in the Reason Code field.
15. Click the Reason Code drop-down arrow.
16. Click the PVQ list item.
17. Click the Receive button. A dialog box opens with the message, “1 Pending PO Receiving 
Transaction(s) were posted.”
18. Click the OK button.
19. Click the X on the Purchase Order Receiving form.
Part 2: Generate a return A/P transaction
1. Click the Open icon.
2. Type generate a in the Filter field.
3. Click the Generate A/P Transactions form list item.
4. Click the OK button. The Generate A/P Transactions form opens.
5. Type dp329 in the PO Number field.
6. Click to select the Adjustment radio button. A dialog box opens with the message, “All selection 
information will be reset”.
7. Click the OK button.
8. Click the Voucher drop-down arrow.
9. Click the 456 list item.
10. Verify F36902 displays in the Vendor Invoice field. 
11. Click the PO Selection tab.
12. Click to select the Select check box for the line item.
13. Write down the amount in the Total field ____________.
14. Type [the amount from Step 13] in the Material field. This is the amount for the one returned fuel 
tank.
15. Press Tab. The Total field value for the invoice populates.
16. Click the Generate button. A dialog box opens with the message, “[Generate] will be performed.” 
17. Click the OK button. A dialog box opens with the message, “[Generate] was successful. Voucher 
is XXX.” 
18. Click the OK button.
19. Click the X on the Generate A/P Transactions form.
Part 3: Post the return voucher
1. Click the Open icon.
2. Type a/p vouchers in the Filter field.
3. Click the web.APVouchersandAdjustments form list item.
4. Click the OK button. The A/P Vouchers and Adjustments form opens.
5. Verify [your adjustment voucher] is displayed.
6. Click the A/P Voucher Posting menu option. The A/P Voucher Posting form opens with the 
vendor and voucher number displayed.
7. Verify the Print radio button is selected.
8. Click the Process button. A dialog box opens with the message, “[A/P Voucher Posting] will be 
printed.”
9. Click the OK button. The A/P Voucher Posting Report opens in a new tab.
Review the report.
10. Click the X on the report tab. A dialog box opens with the message, “Report Submitted”.
11. Click the OK button.
12. Click to select the Commit radio button. 
13. Click the Process button. A dialog box opens with the message, “[Post] will be performed.”
14. Click the OK button. A dialog box opens with the message, “1 A/P Transaction(s) were posted.”
15. Click the OK button.
16. Click the Window drop-down arrow.
17. Click the Close All list item.
Part 4: Generate the Vendor Voucher/Debit Memo Report
1. Click the Open icon.
2. Type vendor voucher in the Filter field.
3. Click the Vendor Voucher/Debit Memo Report form list item.
4. Click the OK button. The Vendor Voucher/Debit Memo Report form opens.
5. Type 6 in the Vendor Starting field.
6. Press Tab.
7. Verify 6 displays in the Vendor Ending field. 
8. Click the Print button. The Vendor Voucher/Debit Memo Report opens in a new tab.
Review the report.
9. Click the X on the report tab. A dialog box opens with the message, “Report Submitted”.
10. Click the OK button.
11. Click the X on the Vendor Voucher/Debit Memo Report form.
